The Drama Club meets the third Wednesday of every month!

Drama Club Bylaws:

  • Purpose/Mission: Accept all who are interested in theater. Expose SHS to a variety of productions.
  • Member Expectations and Rights
    • Show respect toward all fellow members during meetings, rehearsals, and club activities.
    • Members that disrupt meetings or club activities, or stop attending meetings and club activities may have voting rights suspended or may be dismissed from the club by advisors
    • Members have the right to participate in all club meetings and activities. Those activities include, but are not limited to picnics, theater productions (in house and out of house), and corn maze volunteering.
    • Voting Rights
      • Active members can vote
        • Active membership is defined as a member having participated in at least 2 productions and/or attended all drama club meetings the previous year
        • Active membership does not apply to new members (incoming freshmen, etc.)
          • New members: take an active role in drama activities or productions
          • By election time in April have established active membership
      • All votes not connected to election process will be done via a role call unless a closed vote is requested
  • Meetings
    • All officers will meet with club advisors at least once a month
    • Club meetings will be held a minimum of 3 times a year; approximate dates are
      • September
      • December
      • April
    • Any member can request that a club meeting be held
  • Elections
    • elected officers (president, VP, secretary, treasurer) & 1-2 appointed tech specialists
    • Who can run?
      • current 9-11th grade students
      • drama club members who have participated in a minimum of 2 SHS theater productions during the current school year
        • productions include fall play, one act, spring musical
        • participation can be on stage or tech crew
        • pit band does NOT count
    • How many times can someone be elected?
      • 2 years maximum as an officer
      • Can be consecutive or nonconsecutive
    • To be on the ballot you must submit your own name
    • Speaking before election mandatory in the form of a maximum 2 minute presentation
    • Officer elections will always be done by secret ballot and voting will be calculated by the plurality system.
    • Duties of officers
      • President:
        • Update/write by-laws
        • Participate in Corn Maze at least one night (failure to participate will result in being given an additional duty; failure to complete that duty will result in removal from office)
        • Create calendar for year based on calendar template (with advisor[s])
        • Meet with advisor[s] monthly during Spartan Time
        • Check email frequently
        • Proofread awards ballot (spelling, missing names, correct information)
        • In the event there is no MC for Spartan Spec, at least 2 officers must MC the event
        • Promote all drama productions, including Spartan Spec
        • Meet with advisor[s] prior to each meeting (schedule those meetings)
        • Create meeting agenda with a visual aid
        • Run meetings (with VP)
        • Keep meetings moving
        • Make sure important items are scheduled (corn maze, picnics, awards, etc.) and completed
        • Corn Maze representative (make sure an officer is present each night of volunteering)
        • Send thank you notes when necessary
        • Runs election process
      • Vice President:
        • Update/write by-laws
        • Participate in Corn Maze at least one night (failure to participate will result in being given an additional duty; failure to complete that duty will result in removal from office)
        • Create calendar for year based on calendar template (with advisor[s])
        • Meet with advisor[s] monthly during Spartan Time
        • Check email frequently
        • Proofread awards ballot (spelling, missing names, correct information)
        • In the event there is no MC for Spartan Spec, at least 2 officers must MC the event
        • Promote all drama productions, including Spartan Spec
        • Run meetings with president or individually in the event of the presidents absence
        • Register all members at the first meeting
        • Take attendance at each meeting, adding new members at the bottom of the roster
        • Give all attendance records to secretary
        • FAB liaison when student representative is needed
        • Track all members attendance at meetings and activities on a working spreadsheet (one that is updated with each new event), to be emailed to advisor[s] at the conclusion of every event and meeting. The information for this spreadsheet will be provided by the treasurer
          • This does NOT include keeping track of people who participate in productions
          • Activities include things like picnics, corn maze, etc.
        • Hang up all production posters in SHS (fall play, Spartan Spec, one act, musical)
      • Secretary:
        • Update/write by-laws
        • Participate in Corn Maze at least one night (failure to participate will result in being given an additional duty; failure to complete that duty will result in removal from office)
        • Create calendar for year based on calendar template (with advisor[s])
        • Meet with advisor[s] monthly during Spartan Time
        • Check email frequently
        • Proofread awards ballot (spelling, missing names, correct information)
        • In the event there is no MC for Spartan Spec, at least 2 officers must MC the event
        • Promote all drama productions, including Spartan Spec
        • Take notes over each meeting; notes should include
          • What was discussed
          • Who attended
          • What was voted on
          • If votes were passed or failed and by what %
        • Email all notes to advisor[s] & technology specialist
        • Type up all sign-up sheets [corn maze, picnic, etc.] and post them in advisors room (or email them to the advisor to print)
        • Create group contact sheet (phone numbers) for club activities [Google Doc??]
      • Treasurer:
        • Update/write by-laws
        • Participate in Corn Maze at least one night (failure to participate will result in being given an additional duty; failure to complete that duty will result in removal from office)
        • Create calendar for year based on calendar template (with advisor[s])
        • Meet with advisor[s] monthly during Spartan Time
        • Check email frequently
        • Proofread awards ballot (spelling, missing names, correct information)
        • In the event there is no MC for Spartan Spec, at least 2 officers must MC the event
        • Promote all drama productions, including Spartan Spec
        • Keep track of club funds
          • Includes the spreadsheet of funds emailed to you by the advisor
          • Includes keeping notes during meetings about funds that are voted upon and adding them to the spreadsheet to make sure they line up
        • Keep track of monies allotted to each member of the club
        • Email a monthly financial report to the technology specialist
        • Keep track of all drama club members voting at meetings
          • Track all voting on issues during meeting (motions, pass, fail, etc.)
          • Give all voting records to secretary & vice-president
      • Technology Specialist: (appointed by officers)
        • Work with the advisor to maintain drama club website
          • Post notes
          • Post financial reports
          • Post pictures
          • Post events (upcoming and current)
          • Post announcements
        • Either take or gather pictures from rehearsals and productions for the website
  • Funds
    • How much allotted to each student
      • Account minimum of $500
      • Incoming funds will be assigned at the end of the year for specific purposes (account minimum, local activities, long term goals), unless funds have already been earmarked for a specific purpose.

    • Who votes on funds?
      • Big purchases (over $100) club
      • Smaller purchases (under $100) officers
      • Some money can be spent per the discretion of the advisors without club approval
  • Important dates to preschedule every year (dates below are suggested and dependent upon school calendar)
    • First meeting (1st Tuesday of school year)
